Billing & Subscription
Manage your billing plan, view usage, update payment method, and buy add-ons.
The Billing page shows your organization's current plan, usage, payment status, and available add-ons. Access it from Settings > Billing.
Your Plan
At the top of the page you'll see:
| Field | What It Shows |
|---|---|
| Plan name | With a status badge — Active, Past Due, Read-Only, or Free Tier |
| Annual price | Or "Free Tier" if on the Preview plan |
| Billing period | Your current billing cycle start and end dates |
If you're on the free Preview tier, you'll see a note to contact your administrator to upgrade. Billing changes are made by your account owner.
Completing Payment
When your administrator sets up a paid plan:
You'll receive a notification in your notification bell
The billing page shows a prominent "Complete Your Payment" card
Click it to go to Stripe's secure checkout
Pay with credit card or bank account
Your plan activates automatically — the page updates in real time, no refresh needed
Usage Gauges
Each metered resource shows a colored progress bar:
| Color | Usage Range | Meaning |
|---|---|---|
| Green | Under 80% | Healthy usage |
| Amber | 80-99% | Approaching your limit |
| Red | 100%+ | At or over your limit |
Resources tracked:
| Resource | What It Measures |
|---|---|
| Voice Interview Minutes | Total voice interview time this billing period |
| Text Interview Minutes | Total text interview time |
| Voice Session Minutes | Voice sessions (if enabled on your plan) |
| Text Session Minutes | Text sessions (if enabled) |
| AI Tokens | AI processing for scoring and analysis |
| Seats | Active team members |
| Active Postings | Currently active job postings |
When you approach 80% of any limit, you'll see a warning banner and receive a notification. At 100%, a stronger alert fires. Your team won't be immediately blocked — there's a configurable buffer before creation limits are enforced.
Feature Access
Below the usage gauges, badges show which features are included in your plan. Features not included show as grayed out. Unlock them by upgrading or adding an add-on.
- Sessions — enabled or not included
- ATS Integration — enabled or not included
Shows which interview depth levels are available on your plan: Light, Standard, Deep, Custom. Locked levels display a lock icon when configuring a posting.
Manage Billing
If your organization has an active paid subscription, the "Manage Billing" button opens Stripe's secure Customer Portal where you can:
- Update your payment method (credit card or bank account)
- View and download invoices
- Cancel your subscription at the end of the current billing period
Add-Ons
Shows any add-ons currently active on your account — extra interview minutes, session packages, ATS integration, and more.
Browse add-ons available for your plan. Each shows the name, description, and price. Click Buy Add-On to activate it — no waiting for admin approval. The add-on turns on immediately and the prorated charge appears on your next invoice. You need an active paid plan with a payment method on file; if you're on the free tier, move to a paid plan first.
Invoice History
After your first payment, the billing page shows your complete invoice history with invoice number, date, amount, status (paid, pending, failed), and links to view or download each invoice as a PDF.
Payment Issues
If a payment fails, an amber banner appears:
"We were unable to process your payment. Please update your payment method."
The banner shows your grace period end date — the deadline to fix the payment before your account is restricted. Everything works normally during the grace period.
Click Update Payment Method to fix it via Stripe's portal.
If the grace period expires without payment, your account becomes read-only:
- You can view all existing data — postings, candidates, scorecards, sessions
- You cannot create new postings, invite candidates, add team members, or start sessions
A red banner explains the situation. Update your payment method to restore full access immediately.
Inline Warnings
When approaching limits, context-specific warnings appear throughout the platform:
| Action | Warning Shown |
|---|---|
| Creating a posting | Warning if near posting limit; lock icons on depth levels outside your plan |
| Inviting a candidate | Warning if near interview minute limit |
| Inviting a team member | Warning if near seat limit |
| Creating a session | Message if sessions aren't included in your plan |
| Connecting an ATS | Message if ATS integration isn't included |
Organization Name
The Organization section in Settings shows your company name. Only the account owner can change it — other team members see it as read-only.
