Pipeline Stages
Customize the hiring pipeline stages your team uses to track candidates from application to decision.
Go to Settings > Pipeline to configure the pipeline stages for your organization.
What Are Pipeline Stages?
Pipeline stages let your team track where each candidate is in your hiring process. Every candidate is assigned a stage, and your team moves candidates forward as decisions are made.
Stages are configured once per organization — they apply to all your postings and all your candidates.
Default Stages
Every account starts with five stages:

| Pending Review | Candidate submitted their application or interview and is awaiting evaluation |
| Under Review | Your team is actively reviewing the candidate |
| Hired | Candidate selected for the role |
| Rejected | Candidate not selected |
| Withdrew | Candidate withdrew from consideration |
Customizing Stages
You can rename stages, change their color, and reorder them to match your process.
Click the edit icon on any stage to change its label or color
Choose a color from the preset palette to make stages visually distinct at a glance
Drag stages up or down to change the order they appear in candidate views
Click Add Stage to create a new stage — give it a label, color, and a system mapping
Click Save in the fixed bar at the bottom of the page to apply changes
System Stage Mapping
Each stage maps to one of five canonical system stages. This mapping is used internally for compliance calculations and follow-up survey triggers — it does not affect how the stage appears to your team.

hired | Sets the candidate's hired_at date automatically |
rejected | Terminal — no further stage changes allowed |
withdrew | Terminal — no further stage changes allowed |
You can create multiple custom stages that all map to the same system stage. For example, you might have "Phone Screen," "Technical Review," and "Final Interview" all mapping to under_review.
Moving Candidates Through Stages
Stage selectors appear in two places:
- Posting page — next to each candidate in the candidate list
- Candidate detail page — at the top of the candidate profile
Stage transitions are forward-only. You cannot move a candidate backward. Once a candidate reaches a Rejected or Withdrew stage, no further changes can be made.
When you move a candidate to a stage mapped to "hired," the candidate's hire date is recorded automatically. This appears on the candidate detail page.
Stage Changes and Follow-Up Surveys
If your organization has configured follow-up surveys, certain stage transitions can trigger automated survey invitations — for example, sending a 30-day check-in after a candidate is hired. Your platform administrator configures which stage transitions trigger which surveys.
